Group Registrations

Purchase e-Vouchers for a group

  1. A valid Ghent Pathology Account is REQUIRED. You can create a new account or recover your login details through the Ghent Pathology Portal.

  2. Make sure to enter the correct invoice details, including the VAT Number or Tax ID, during the registration process.
    Please note: changes to an issued invoice will incur an administrative fee on the total invoice amount.

  3. Group coordinators can purchase e-Vouchers for any category of delegate. A Group Name must be provided during the purchase process.

  4. Once the group registration is COMPLETE, a confirmation and the corresponding invoice(s) will be sent to the group coordinator. These documents will also be available on the Ghent Pathology Portal.

  5. e-Vouchers must be retrieved directly from the personal account of the Group coordinator on the Ghent Pathology platform. The codes are only accessible through the account and will not be sent via email.

  6. Share the e-voucher codes AND Group Name with your delegates and instruct them to activate their vouchers via the Ghent Pathology Portal by selecting “Manage my congress” and then “Activate e-Voucher.” Each e-voucher code is unique and corresponds to the purchased registration fee.

  7. Each delegate MUST create their own Ghent Pathology Account to activate their e-voucher. Once the e-voucher is activated, a registration confirmation will be sent to the delegate. The group coordinator can follow the status of each e-voucher on their personal account.

  8. Group coordinators MUST ensure that all delegates have activated their e-vouchers and that ALL registrations are FULLY PAID.

  9. A CANCELLED registration can be reassigned to another delegate at the SAME registration fee FREE of charge, provided the change is made by June 3, 2025. Requests can be made by email to : anne.france@dme-events.eu / c.martinez@vivactisbenelux.com

  10. IMPORTANT: Any unclaimed or incomplete e-vouchers WILL BE CANCELLED without refunds.

  11. Extras: Delegates can ADD optional extras to their registration to enhance their event experience.

Payment information

Payments can be made via bank transfer or credit card (Visa or Mastercard) through the SECURE online payment system.

IMPORTANT: Always include the corresponding invoice number and registration number as your payment reference.

Payment Deadlines:

  • Early Registration Fees: May 31, 2025, at 23:59 (Time Zone Brussels)

  • Standard Registration Fees: June 23, 2025, at 23:59 (Time Zone Brussels)

  • Final Payment Deadline: June 10, 2025, at 23:59 (Time Zone Brussels)

  • All transfer payments MUST arrive in our account by the specified DEADLINES. After June 10, 2025, transfer payments will NO LONGER be accepted. Any remaining balances MUST be paid via credit card (Visa or Mastercard).

NOTE: If the group registration is NOT fully paid before the congress, delegates WILL NOT be granted access to the event.

Activate & use an e-Voucher

To activate and use an e-Voucher for the congress, please follow the steps below:

  1. Create a Personal Profile

    • Before proceeding, the delegate must create a personal profile on the congress platform.

  2. Obtain Your Unique E-Voucher

    • Ensure you have a unique e-Voucher code and the Group Name provided by your group coordinator.

  3. Activate Your E-Voucher

    • Log in to your account and navigate to the "Manage My Congress" tab.

    • Click on "Activate E-Voucher" to access the activation page.

    • Enter your unique e-Voucher code and Group Name in the designated fields.

  4. Profile Update

    • Based on the items selected by the group coordinator, your profile will be automatically updated.

    • Once the activation is complete, your personal QR code will be generated.

  5. Adding Options

    • At any time, delegates can add additional options to their account by clicking on the "Add Extras" button (additional costs may apply).

    • If you receive a new e-Voucher, follow the same procedure described above to activate it.

  6. Email Confirmation

    • After completing the process, the delegate will receive an email containing their updated QR code for reference.

Badge collection

Before the congress, ALL delegates will receive a QR code by email, also available on their personal Ghent Pathology Account. This code MUST be scanned onsite to PRINT the delegate badge.

Certificate of attendance

After the congress, ALL registered delegates can log in to the Ghent Pathology Portal to DOWNLOAD their certificate of attendance. One certificate will be issued for EACH day of participation.

Terms & Conditions

It is the sole responsibility of the group leader to ensure that each delegate is registered ONLY ONCE. Duplicate registrations can be cancelled, but they are SUBJECT TO the cancellation policy. Ghent Pathology will not be held responsible for duplicate registrations.
